1. Who We Are

ScoutBase is operated by Golf Social Inc, doing business as ScoutBase ("ScoutBase," "we," "us," or "our"), a Delaware C corporation headquartered in Utah. ScoutBase is a private, invite-only network designed to connect verified professional hockey players and representatives exploring opportunities in European and North American professional hockey leagues.

2. Information We Collect

Information You Provide

  • Account information: first name, last name, email address, and password when you create an account.

  • Profile information: account type (player or representative), current team or agency, league, position, nationality, physical stats (height, weight), biography, and career information.

  • Verification information: links to external profiles (such as Elite Prospects), agency websites, or other materials you submit to request verification of your account.

  • Media: profile photos and video highlights you upload to your profile.

  • Messages and communications: the content of direct messages you send to other users within the app.

  • Connection data: information about your connections, endorsements you give or receive, and saved profiles.

  • Preferences: notification settings, privacy settings, and discoverability preferences.

Information Collected Automatically

  • Device information: device type, operating system, and app version.

  • Push notification tokens: a unique identifier used to deliver push notifications to your device.

  • Usage data: how you interact with features of the app, including screens visited and actions taken.

3. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and verify your identity as a professional hockey player or representative.

  • Display your profile to other verified users on the platform in accordance with your privacy settings.

  • Facilitate connections, messaging, and endorsements between users.

  • Send push notifications and email notifications about activity on your account, subject to your notification preferences.

  • Send transactional emails, including invite emails on your behalf when you invite someone to join ScoutBase.

  • Improve the app and develop new features.

  • Enforce our Terms of Use and protect the safety and integrity of the platform.

  • Comply with applicable laws and legal obligations.

4. Legal Basis for Processing

If you are located in the European Economic Area (EEA), we process your personal data under the following legal bases as defined by the GDPR:

  • Contract Performance: Processing necessary to provide the ScoutBase service, including account creation, profile management, and facilitating connections between users.

  • Legitimate Interests: Processing necessary for security, fraud prevention, and improving our services, where these interests are not overridden by your rights.

  • Legal Obligation: Processing required to comply with applicable laws and regulations.

We do not send marketing or promotional communications. All emails sent by ScoutBase are transactional in nature, including account verification, connection requests, and service notifications.

5. How We Share Your Information

We use the following third-party service providers who may process your data on our behalf:

  • Supabase — database storage, authentication, and file storage (United States)

  • Mux — video hosting and streaming (United States)

  • Resend — transactional email delivery

  • Expo / Expo Application Services (EAS) — push notifications and app distribution

  • Apple — iOS platform services, App Store distribution, and Apple Push Notification service (APNs)

  • Cloudflare — content delivery and network security

We do not sell your personal information to third parties. We may update this list as we add new service providers, and we will update this policy accordingly.

We may also disclose your information where required by law, to respond to legal process, to protect the safety of our users, or to protect our rights.

6. How We Store and Protect Your Information

Your data is stored on secure servers provided by Supabase, Inc., which operates on Amazon Web Services (AWS) infrastructure in the United States. We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), access controls, and authentication to protect your information.

While we take reasonable steps to protect your data, no system is completely secure. We encourage you to use a strong, unique password for your ScoutBase account.

7. International Data Transfers

ScoutBase is operated by Golf Social Inc, a company based in the United States. Your personal data is stored and processed on servers located in the United States (AWS US East, N. Virginia) through our infrastructure provider Supabase.

If you are located in the EEA, United Kingdom, or Switzerland, your data is transferred to the United States pursuant to Standard Contractual Clauses (SCCs) approved by the European Commission, which provide appropriate safeguards for the transfer of personal data to third countries. By using ScoutBase, you acknowledge and consent to this transfer.

8. Data Retention

We retain your personal information for as long as your account is active. If you delete your account, we will purge your data from our active systems within 30 days. Certain aggregated or anonymized data may be retained for longer periods for internal analytics purposes. Backup copies of data may persist in our backup systems for a limited additional period. Certain data may also be retained longer where required by law or for legitimate business purposes such as fraud prevention.

9. Your Rights and Choices

Access and Correction

You can access and update most of your profile information directly within the app through the Settings menu.

Notification Preferences

You can manage your push notification and email notification preferences at any time in Settings > Notifications.

Privacy Settings

You can control your discoverability and profile visibility in Settings > Account Privacy.

Account Deletion

You can delete your account in Settings > Delete Account. Upon deletion, your profile will be marked as deleted and removed from Discovery and Search. Your data will be fully purged from our active systems within 30 days of deletion.

GDPR Rights for EEA Users

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have the following additional rights under the GDPR or equivalent laws:

  • Right of Access: Request a copy of the personal data we hold about you.

  • Right to Rectification: Request correction of inaccurate or incomplete data.

  • Right to Erasure: Request deletion of your personal data, subject to certain legal obligations.

  • Right to Restrict Processing: Request that we limit how we use your data in certain circumstances.

  • Right to Data Portability: Request your personal data in a structured, machine-readable format.

  • Right to Object: Object to processing based on legitimate interests.

  • Right to Lodge a Complaint: You have the right to lodge a complaint with your local data protection supervisory authority if you believe your data has been processed unlawfully.

10. No Marketing Communications

ScoutBase does not send marketing or promotional emails. All communications from ScoutBase are transactional, including account-related notifications, connection requests, and verification updates. You may manage notification preferences within the app settings.

11. Children's Privacy

ScoutBase is intended for users 18 years of age and older. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that a user under 18 has created an account, we will terminate that account and delete associated data promptly. If you believe a minor has registered on ScoutBase, please contact us at admin@scoutbase.pro.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you through the app or by email. Your continued use of ScoutBase after the effective date of the updated policy constitutes your acceptance of the changes. We encourage you to review this policy periodically.
